These are distinct processes, not one document covering everything. Describe the activity, owners, location and required service before searching for a form, avoiding payment for a process that does not address the original commercial need or the organisation requesting evidence.
For a limited company, compare UK structures before preparing the name, management, ownership and address. Opening an online account or buying a domain does not incorporate a legal entity. Knowing the purpose of each number and document helps provide suitable information to banks, accountants and customers, preventing a registration number from being used to answer a separate tax-identification or licensing question.
Review the name, address and ownership
The incorporation and names guidance explains the information filed with Companies House. Check the proposed name and its use, preparing personal, control and activity details. Availability in the company register does not complete trademark review or permit using every similar logo. Separate name checks from brand protection before relying on the proposed identity for a website, customer materials and promotional campaigns.
Arrange an appropriate registered office and correspondence process and a monitored registered email. Understand what is public and what personal information is supplied separately, retaining a pre-submission copy. Partners should agree ownership, management and authority consistently with their documents instead of completing the form with temporary arrangements and leaving important disputes to be resolved after a certificate has already been issued by the authority.
Submit the filing and retain acceptance evidence
Use the official incorporation service or a provider with a defined scope, preparing identity-verification details and personal codes where applicable. Review the fields and documents, retaining the reference and follow-up method for questions. Payment is not the final outcome: establish whether the application was accepted, which details were recorded and what further information or independent work is needed afterwards.
Store the certificate's legal name, number and date alongside foundational documents and ownership and management records. Distinguish the company number from the UTR, filing credentials and personal-verification codes, keeping sensitive identifiers out of general marketing documents. Maintain access and authority records for administrators, supporting an orderly review or handover rather than dependence on an account controlled only by a provider with no clear recovery process.
Check and use the register accurately
The company-information service describes access to entity information, documents, former names and available officer records. Search by legal number and compare the name, address and status with your documents, checking relevant company dates. A searchable record identifies the entity; it does not assess service quality, financial strength or certify every activity claimed on the company's own commercial website and customer-facing promotional materials.
Use the legal name, number and relevant information consistently in contracts, invoices and institutional applications. When facts change, determine the required filing and deadline instead of postponing every update until an annual review. Retain the submission, acceptance and date, inspecting the register afterwards when appropriate. Correct information in an internal document does not automatically mean every authority or institution has received and recorded the same change.
Organise work that incorporation does not cover
